Speaker Management involves curating a roster of dynamic and knowledgeable presenters who add value and insight to the event. We handle all logistics to ensure their contributions are impactful and memorable.
Pre-Event
• Host prep calls and dry runs for speakers
• Create calendar invites and schedules for day of content
• Send pre-event logistics email to each speaker
• Complete follow-up emails and answered all questions via email and texts from speakers or admins
• Send social graphics to speakers about their sessions
• Reaching out to all speakers for headshots and bios for social graphics made and added to the website
• Writing all the thank you notes for the speakers
• Created names and faces for green room wrangler
• Review all content for alignment and quality

On-site
• Execute speaker tech needs with on-site AV
• Set up greenroom essentials for speakers to use
• Add speaker numbers to phone to call from the Names & Faces
• Follow alongside the ROS and AV Run of Show
• Host speakers in the green room - answer questions, provide water, etc.
• Ensure speakers check-in on time
• Work alongside AV to mic and un-mic the speakers
• Pass out thank you cards or gifts
• Search for speakers through the venue if they are not on time
Post Event
• Thank Speakers with post event videos/photos of sessions
• Discuss and recruit them for the next event
