Pre-Event
• Venue sourcing & cost comparisons
• Site tours
• Negotiate contract and review concessions for the venue, AV, F&B, etc.
• Book venue & sign contract
• Manage all shipping that comes in and out of the venue
• Venue sourcing/cost comparisons
• Menu Selections/Sign BEOs
• Source Rentals for events
• VIP Dinners and outings - venue sourcing
• Provide war room for staff to work
• Schedule pre-event logistic call with venue, rentals, etc.
On-site
• Ensure the venue is clean and presentable for guests
• Meet with AV team to go over the Main Stage PPT
• Meet onsite with venue team, catering captain & bar team
• Make sure all F&B are out in a timely manner and signage is in place
Post Event
• Check in with the venue to ensure everything is settled
• Discuss with the venue if we will return next year
